Who we are
MySitesSupervisor is a cloud-based sanitation, quality, and maintenance management platform for food and beverage manufacturing facilities. The platform is operated by JA Software, doing business as MySanitationSupervisor ("we," "us," or "our"), located at 928 North Oaklawn Avenue, Elmhurst, Illinois. MySanitationSupervisor and MySitesSupervisor refer to the same business and the same platform; the marketing site is at mysitessupervisor.com and the customer application is at app.mysanitationsupervisor.com.
This policy covers the MySitesSupervisor website and the MySitesSupervisor application.
Information we collect
We collect the following categories of information:
- Account information. Name, work email address, mobile phone number, job role, employer facility, and login credentials. For most users this information is provided by the facility that purchased MySitesSupervisor when your account is created.
- Operational data. Sanitation task records, pre-operational inspection results, ATP and environmental monitoring results, corrective action (CAPA) records, photos attached to tasks, timestamps, and completion history.
- Device and usage information. Browser type, device type, IP address, pages viewed, and push notification subscription tokens for devices where you have enabled notifications.
- Website inquiries. Information you submit through our contact or demo request forms.
How we use information
We use the information above to:
- Provide, operate, and secure the MySitesSupervisor platform;
- Create and manage user accounts and authenticate logins;
- Deliver task assignments, alerts, and compliance reporting to the facility you work for;
- Send operational notifications by push, email, or SMS according to your preferences;
- Provide customer support and respond to inquiries;
- Maintain audit-ready records required by our customers' food safety programs;
- Improve the platform and diagnose technical problems.
We do not sell personal information, and we do not use operational or account data for third-party advertising.
SMS / text message communications
MySanitationSupervisor offers SMS text notifications to users of the platform who choose to enable them. Enrollment is optional and is never a condition of using the platform.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
Program description. Messages are operational alerts related to work assigned to you in the platform: sanitation tasks assigned or coming due, pre-operational inspection results, out-of-specification ATP and environmental monitoring results, and corrective action assignments and escalations. We do not send marketing or promotional text messages.
How you opt in. You enable SMS notifications yourself inside the MySanitationSupervisor application under Settings → Notifications, by entering your mobile number and checking the SMS consent box. The box is not checked by default.
Message frequency. Message frequency varies and depends on the sanitation tasks, inspections, and alerts assigned to your account.
Cost. Message and data rates may apply. MySanitationSupervisor does not charge you for text messages; your mobile carrier's standard rates apply.
How to opt out. Reply STOP to any message at any time to stop all further text messages. You may also disable SMS notifications under Settings → Notifications in your account. After replying STOP, reply START to resubscribe.
Help. Reply HELP to any message for assistance, or contact us at support@mysanitationsupervisor.com.
Carrier liability. Mobile carriers are not liable for delayed or undelivered messages.
How we share information
We share information only in these circumstances:
- With your employer. Operational records you create in the platform are visible to authorized users at the facility that holds the MySitesSupervisor subscription. That is the purpose of the platform.
- With service providers. We use vendors to host infrastructure, deliver email and SMS, process payments, and monitor application health. They may process information only to perform services for us. As stated above, mobile opt-in data and consent are never shared for any marketing purpose.
- For legal reasons. When required by law, subpoena, or to protect the rights, safety, or property of our users or the public.
- In a business transfer. If we are involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction.
Data retention
We retain account and operational records for as long as the facility maintains an active subscription, and afterward for the period required to meet our customers' food safety recordkeeping and audit obligations. You may request deletion of your personal information subject to those obligations and to applicable law.
Security
We use industry-standard safeguards including encryption in transit, role-based access controls, and row-level database security to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your choices and rights
- You may update your account information in the platform or by contacting your facility administrator.
- You may turn push, email, or SMS notifications on or off at any time under Settings → Notifications.
- You may reply STOP to any text message to stop text messages immediately.
- Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information. Contact us at the address below to make a request.
Children's privacy
MySitesSupervisor is a workplace tool intended for use by adults. We do not knowingly collect personal information from anyone under 16.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Material changes affecting the SMS program will be communicated before they take effect.
